By completing your booking or payment, you agree to the following Terms and Conditions:
These terms apply to all events, activities, workshops, sports, and trip bookings with NavyLand Travel.
Part 1 — Events, Activities & Gatherings
1. Booking & Participation Confirmation
- Your booking is considered confirmed only upon full payment of the required registration fee (where applicable).
- No spots will be held without completed registration and payment.
- For free events requiring RSVP, a no-show without notice may affect your eligibility for future priority bookings.
2. Payment Policy
- All paid events, sports activities, and workshops require full payment at the time of registration.
- In the event of cancellation by the participant, the registration fee is non-refundable. However, NavyLand may, as a goodwill gesture, allow the amount to be credited toward a future NavyDXB activity — only in the case of a valid reason or emergency, and provided the new booking is made within twelve (12) months of the original registration date. Supporting documentation may be requested, and approval of credit is at the sole discretion of NavyLand.
- Any unused credit after the 12-month period will be forfeited.
3. Cancellations & Changes
- All cancellation requests must be submitted in writing (email or WhatsApp).
- Requests for changes (e.g., transferring bookings, updating participant names) are subject to availability and may incur additional charges.
- All payments for NavyLand events, gatherings, workshops, and sports activities are strictly non-refundable, regardless of the reason for cancellation. No credits or transfers will be issued unless explicitly approved.
4. Multiple Cancellation Policy
- If a participant cancels more than one paid event or activity within any twelve (12) month period, only the first registration fee may be considered for credit (at NavyLand's discretion).
- Registration fees for subsequent cancellations within the same period will be fully forfeited.
- This policy is in place to ensure fair and efficient planning for all participants.
5. Responsibility for Documents & Compliance
- Participants are solely responsible for ensuring any required identification, permits, or health-related documents are valid and in order prior to the event or activity.
- NavyLand assumes no liability for any issues arising from incomplete documentation or failure to meet participation requirements.
6. Event Amendments
- NavyLand reserves the right to change, postpone, or cancel any event or activity due to operational needs, weather, safety, or other unforeseen circumstances.
- Reasonable alternative arrangements will be provided where possible. Refunds will not be granted for minor modifications.
7. Insurance
- All participants are strongly encouraged to obtain personal insurance that covers medical emergencies, cancellations, liability, and loss of property.
- NavyLand will not be held responsible for any loss, injury, or additional cost arising from lack of proper coverage.
8. Waivers & Assumption of Risk
- Participation in NavyLand activities — including but not limited to sports, workshops, physical activities, and social gatherings — may involve exertion or environmental exposure.
- By participating, individuals voluntarily assume all risks and release NavyLand, its affiliates, staff, volunteers, and partners from any liability for injury, damage, or loss incurred.
- Participation is entirely at the individual's own risk and discretion.
9. Code of Conduct
- All participants are expected to uphold respectful, inclusive, and responsible behavior during NavyLand activities.
- Discrimination, harassment, or disruptive behavior will not be tolerated and may result in removal from the event and disqualification from future participation — without refund.
- Parents or guardians are responsible for minors attending any family-friendly or youth-oriented events.
10. Media Consent
- NavyLand may take photos or videos during events and activities for promotional and documentation purposes.
- By participating, you grant NavyLand the right to use your image or likeness unless you opt out in writing prior to the event.
11. Acceptance of Terms
- By registering or participating in any NavyLand event, the participant confirms they have the legal authority to agree to these Terms and Conditions on behalf of themselves and any others they are registering.
- Participants also affirm that all members of their group are aware of and accept these terms.
Part 2 — Trip Bookings
1. Booking Confirmation
- Your booking is confirmed upon receipt of the required down payment.
- The remaining balance must be settled by the due date communicated at the time of booking.
- If the remaining balance is not paid by the due date, your booking will be automatically cancelled. The down payment will not be refunded and will not be issued as a credit or voucher under any circumstances.
2. Deposit & Payment Policy
- A non-refundable down payment is required to secure your trip package. This payment confirms your spot and is binding.
- The down payment is strictly non-refundable and non-transferable. It cannot be credited, exchanged, or applied toward any future booking under any circumstances, including personal emergencies, change of plans, or visa refusals.
- Full payment of the remaining balance is required by the due date. Failure to pay by the deadline will result in automatic cancellation without any refund or credit.
3. Changes & Cancellations
- All cancellation requests must be submitted in writing via email or WhatsApp and acknowledged by NavyLand to be considered valid.
- NavyLand does not guarantee any refund or credit for cancellations. All payments made are non-refundable.
- If a cancellation is made more than 30 days before the trip departure, NavyLand may, at its sole discretion, offer a credit note valid for 12 months — this is not a right and is subject to availability and management approval.
- Cancellations made within 30 days of departure will result in full forfeiture of all payments made, with no exceptions.
- Name changes or booking transfers to another person may be permitted subject to availability and an admin fee, and only if requested at least 14 days before departure.
4. Multiple Cancellations Policy
- If a traveler cancels more than one trip within any 12-month period, all payments from the second cancellation onward will be fully forfeited — no credit, refund, or transfer will be offered.
- This policy exists to protect the integrity of our operations and fairness to all travelers.
- NavyLand reserves the right to restrict future bookings from travelers with a pattern of repeated cancellations.
5. Travel Documents & Responsibilities
- It is solely the traveler's responsibility to ensure all travel documents — including passports (valid for at least 6 months beyond the travel date), visas, entry permits, and any required health documentation — are in order before departure.
- NavyLand will not be held liable for any costs, losses, or denied boarding arising from incomplete, expired, or incorrect documentation.
- No refund or credit will be issued if a traveler is unable to travel due to documentation issues.
- Travelers are responsible for meeting any health, vaccination, or entry requirements of the destination country.
6. Amendments to Itinerary
- NavyLand reserves the right to modify, substitute, or cancel any element of the itinerary — including accommodations, transport, activities, or destinations — at any time due to weather, safety concerns, supplier issues, or operational requirements.
- Where changes are made, NavyLand will make reasonable efforts to provide alternatives of comparable value. However, no refund will be issued for changes that do not materially affect the overall trip experience.
- In the event of a full trip cancellation by NavyLand, travelers will be offered a credit note or rescheduled dates. Cash refunds are only issued where third-party suppliers return funds to NavyLand.
7. Force Majeure / Unforeseen Circumstances
- NavyLand shall not be held liable for any delay, interruption, or cancellation of travel services caused by events beyond its reasonable control, including but not limited to: acts of God, natural disasters, extreme weather, fire, flood, earthquakes, war, armed conflict, civil unrest, terrorism, government actions or travel bans, pandemics, epidemics, strikes, or infrastructure failures.
- In such cases, NavyLand reserves the right to cancel, postpone, or modify the trip without liability.
- Third-Party Services & Non-Refundable Components: NavyLand acts as an organiser and coordinator of travel experiences. Certain components of your trip — including but not limited to hotel accommodations, local activities, excursions, transfers, and ground operators in the destination country — are booked and paid directly to independent third-party suppliers. These payments are governed by the terms and conditions of the respective suppliers and are non-refundable once paid to those suppliers, regardless of the reason for cancellation.
- In the event of a Force Majeure cancellation: NavyLand will make reasonable efforts to recover funds from third-party suppliers on your behalf. Any amounts successfully recovered will be passed on to the traveler, minus a reasonable administrative handling fee. Where recovery from third-party suppliers is not possible — including cases where suppliers have a strict no-refund policy — no refund will be issued for those components. NavyLand bears no financial liability for amounts paid to and retained by third-party suppliers.
- NavyLand may, at its sole discretion, offer a partial credit note or an alternative travel date for the portions of the trip that were not yet disbursed to suppliers.
- NavyLand's own service fees and coordination charges are non-refundable in all Force Majeure scenarios.
- Travelers are strongly advised to obtain comprehensive travel insurance that covers Force Majeure events, trip cancellations, and non-refundable third-party bookings. NavyLand shall not be responsible for any traveler's failure to obtain adequate insurance coverage.
- This clause is consistent with the UAE Consumer Protection Law (Federal Decree-Law No. 5 of 2023) and applicable tourism regulations, which recognise that service providers are not liable for losses caused by events outside their control, provided that the terms are clearly disclosed to the consumer prior to booking.
8. Insurance
- All travelers are required to obtain comprehensive travel insurance before departure. This insurance must cover, at minimum: medical emergencies and evacuation, trip cancellation and interruption, personal liability, loss or theft of baggage and personal belongings, and any activities included in the itinerary (e.g., hiking, water sports).
- NavyLand will not be held responsible for any costs, losses, injuries, or claims arising from a traveler's failure to obtain adequate insurance.
- By confirming your booking, you acknowledge that you are responsible for securing appropriate coverage.
9. Waivers and Assumption of Risk
- Travel inherently involves risk. Certain activities on NavyLand trips — including but not limited to hiking, water activities, adventure sports, and travel in remote or developing regions — carry physical, environmental, and logistical risks.
- By booking with NavyLand, travelers voluntarily assume all risks associated with the trip and its activities.
- Travelers agree to release, indemnify, and hold harmless NavyLand, its directors, employees, guides, partners, and service providers from any and all claims, damages, losses, or liabilities arising from participation in the trip, including injury, illness, death, property damage, or financial loss.
- NavyLand is not responsible for the actions or negligence of third-party suppliers, including airlines, hotels, transport providers, or activity operators.
10. Acceptance of Terms
- By confirming your booking and making payment, you confirm that you have read, understood, and fully agreed to these Terms and Conditions.
- You confirm that you have the legal authority to accept these terms on behalf of yourself and all travelers included in the booking.
- These terms constitute a binding agreement between you and NavyLand Travel.
